This policy explains how SRN Partners ("SRN", "we", "us") handles your personal information when you use the SRN Plus mobile app ("the app"). It is written to align with the New Zealand Privacy Act 2020 and its Information Privacy Principles.
SRN Plus is built for SRN clients. Anyone can download the app and sign in, but access to client records is granted by SRN staff to people who are clients of the firm. If you are not yet a client, the app lets you tell us about your business and message the team, and shows general information about our services.
Who we are
SRN Partners, Chartered Accountants (New Zealand). The app is built and operated for SRN by Zeaney. For any privacy question, contact us at support@srn.co.nz.
What we collect
- Your email address — used to sign you in. We send a six-digit code to your email; there are no passwords. If you choose Sign in with Apple or Google, we receive your verified email address (and name, if you share it) from that provider and nothing else.
- Details you give us as a prospective client — your name, phone number and a short description of your business, if you use the app to get in touch before becoming a client.
- Your client and business information — the details SRN already holds about you as a client (your name, business/entity names, and the compliance work we do for you). The app displays this to you; it is maintained by SRN staff, not created in the app.
- Your messages — the content of messages you send to, and receive from, the SRN team through the app, including questions you ask Zeaney, our AI assistant (see below).
- Documents and photos you upload — files you choose to send us through the app, and an optional profile photo.
- Invoices you create — if you use the invoicing feature, the customers, line items and amounts you enter. These are your business records, stored so you can send and keep them.
- A notification token — if you allow notifications, your device provides a push token so we can alert you when something needs your attention.
- Sign-in tokens — after you sign in, secure tokens are stored on your device (in the device keychain / keystore) so you stay signed in. We do not store these where other apps can read them.
- Basic technical information — standard information needed to operate the service securely (such as the requests your app makes to our servers). We do not use advertising trackers in the app.
- Crash reports and anonymous usage — if the app crashes, a report of what went wrong (without your name, messages or documents) is sent to Sentry so we can fix it. We also record which screens are used, under a random identifier that is not linked to you, so we can see what is working. Neither is used for advertising.
We do not collect payment card details in the app, and we do not sell your information or use it for advertising.
How we use your information
- To verify it's you and sign you in securely.
- To show you your own jobs, documents, compliance status, and messages with SRN.
- To notify you when something needs your attention.
- To provide, maintain, and secure the service, and to meet our professional and legal obligations as your accountants.
Only your own information
The app is built so that your sign-in can only ever access your own records. Every request is scoped to your account on our servers, so you cannot see — and no one else can see — another client's information. This is a core part of how the app is designed and tested.
How your information is stored and protected
- Encrypted in transit — all communication between the app and our servers uses HTTPS.
- Stored in Australia — our databases and document storage are hosted in Sydney, Australia, to keep New Zealand and Australian data close to home. Some service providers below may process limited data in other locations to deliver email or notifications.
- Access-controlled — sign-in codes and tokens are protected, and your information is only accessible to you (through the app) and to authorised SRN staff who work on your file.
Who we share it with
We share limited information only with service providers that help us run the app, and only for that purpose:
- Email delivery (Resend) — to send your sign-in code.
- Push notifications (Expo, and Apple / Google push services) — to deliver notifications to your device. Notification content is kept generic and does not include sensitive detail.
- Cloud hosting and storage (Amazon Web Services, Sydney; Vercel; Neon) — to run our servers and store documents securely.
- Zeaney, our AI assistant — when you message the team and no one is available, or when you ask Zeaney directly, the text of your message is sent to Anthropic to generate a reply. Zeaney has no access to your records and only answers general questions; it is not used to train AI models.
- Payments (Stripe) — if you pay an SRN invoice or set up a subscription, you do so on Stripe’s hosted payment page. We never see or store your card details.
- Identity verification (APLYiD) — if SRN asks you to verify your identity as part of becoming a client, that check runs on APLYiD’s service under its own privacy policy; we receive the outcome, not your identity documents.
- Crash reporting and usage analytics (Sentry; PostHog) — as described above, without personal information.
We do not sell your personal information to anyone. We may disclose information where required by law or by our professional obligations.
How long we keep it
We keep your information for as long as you are an SRN client and for as long afterwards as we are required to by law — accounting and tax records are generally retained for seven years. Sign-in tokens on your device are removed when you sign out.
Your rights
Under the Privacy Act 2020 you have the right to ask for access to the personal information we hold about you, and to ask us to correct it. To make a request, or to raise a privacy concern, contact support@srn.co.nz. If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner (privacy.org.nz).
Children
SRN Plus is intended for SRN's clients and is not directed at children.
Changes to this policy
We may update this policy from time to time. The "last updated" date above shows when it last changed, and material changes will be made available in the app or on this page.
